Initial Assessment

Space & Product Mapping

Before we design anything, we need to understand exactly what's happening in your warehouse. We conduct a full physical walk-through, documenting the current layout, product locations, movement flows, and areas where problems concentrate.

This mapping phase is not about judging the current state — it's about gathering the information we need to design a system that works for your specific operation. We photograph, measure, and record everything.

System Design

Zone & Category Location System

Using the mapping data, we design a zone-based location system adapted to your physical space and product mix. Each zone is assigned to a product category or product family, with clear internal organization logic.

We consider factors like product rotation speed, weight, size, temperature requirements, and how frequently staff need to access each category. High-rotation items go where access is fastest. Seasonal or slow-moving products are placed in secondary zones.

Inventory Control

Reorder Point Definition

We work with you to establish minimum stock thresholds for each product category — the point at which a reorder should be triggered. These thresholds are based on your actual sales patterns and supplier lead times, not arbitrary numbers.

These reorder points become part of your operational documentation. When stock reaches the defined threshold, the process for reordering is clear and doesn't depend on anyone's judgment or memory.

Process Design

Merchandise Reception Protocol

This is often the highest-impact deliverable. A clear, written reception protocol defines exactly what happens when a delivery arrives: who receives it, how it's checked, where it goes, when it gets entered into the system, and what happens if there are discrepancies.

The protocol is written in plain, step-by-step language. A new employee should be able to pick it up and follow it correctly without any verbal explanation. This is the standard we write to.

Documentation

Team Operating Manual

All procedures, zone maps, reorder points, and protocols are compiled into a single reference document for your team. This isn't a glossy PDF — it's a practical working document designed to live in your warehouse and be used daily.

The manual covers all the decisions made during the engagement so that the reasoning behind each element is captured, not just the rules. This makes it easier for your team to adapt when circumstances change.

Verification

60-Day Follow-Up Visit

Sixty days after the implementation is complete, we return to your location for a follow-up visit. This is included in the engagement — not an additional service.

During this visit, we assess how the system has held up in real-world conditions. We look at whether the zone structure is being maintained, whether the reception protocol is being followed, and whether the reorder points are working as intended. We make any necessary adjustments and answer questions that have come up since implementation.

What We Don't Do

Clarity on scope

We don't sell or implement inventory management software. Our work is compatible with any system you use — or with no system at all.

Shelving or Equipment

We don't sell shelving, bins, labels, or any physical materials. We design a system that works with what you already have. If you need materials, we'll tell you what to look for — but we don't supply them.

Not included

Remote Consulting

Our work is done in person, at your location. We don't offer remote advice or video-call consultations as a substitute for a physical visit.
